Collections Notice

01 Purpose, parties and precedence
This notice governs CORD’s artificial intelligence collections: the reminders the agent drafts and emails on the Customer’s behalf to those who owe it money. “Flouvia”, “Customer”, “CORD” and other defined terms have the meaning given to them in the CORD Terms and Conditions.
The Customer is the creditor. Flouvia provides the tool: it does not buy the debt, become a creditor or a collection agency, or decide whether an amount is owed. The Customer is responsible for the creditor’s identity, the origin and accuracy of the balance, the contact it uses and its commercial terms with its buyer.
This notice forms part of the Terms; the Payment Terms prevail on payments. Governing law and jurisdiction are those in section 16 of the Terms.
02 Activation and receivables
AI collections start turned off and in approval mode. Turning them on, and turning on automatic mode, requires an express decision by a user with permission. The agent takes accounts with overdue balances from quotes and invoices, deducts applicable payments and credit notes and excludes covered balances, plans in good standing and excluded customers. The Customer configures grace days, cadence, minimum amount, tone, signature, maximum per run and after how many days an installment plan may be proposed.
Before turning them on, the Customer shall determine whether each debt is commercial or consumer and which notice, timing, frequency, registration or licensing rules apply where the debtor is. Cord does not make that classification by country or debt type.
03 Approval, automatic mode and message cap
In approval mode, the agent prepares a draft that a person at the Customer can edit, regenerate, discard or approve; only approval sends it. In automatic mode, the agent sends without human review of each message.
In any mode, Cord sends no more than two collection messages to the same debtor in seven days. The Customer cannot raise that cap. Approving a draft never activates an installment plan.
04 Sender, content and opt-out
Each email is sent in the creditor’s name, with its tax identification if it has one and its reply-to address if configured; CORD appears only as a technical footer. Each email states, visibly and outside the text the Customer can edit, that it was drafted with artificial intelligence on the creditor’s behalf, and carries a technical header identifying it as AI-generated (X-Cord-AI-Generated).
The message may not threaten, harass, pose as an authority, lawyer or person, disclose the debt to third parties or claim non-existent consequences.
Each email includes the link “Do not contact me again this way”. When used, the debtor is immediately excluded from that creditor’s email collections, and Cord notifies the Customer, which cannot reverse the exclusion. Email programs that support it also offer one-click unsubscribe.
Template payment reminders, which the AI does not draft, respect that exclusion and carry the same link, but do not count toward the cap.
05 Installment plans
If the Customer allows it, the agent may propose a plan of two to six monthly installments for an overdue quote, from the number of days the Customer configures and if there is no other plan in force. The installments add up exactly to the balance; there is no discount on the principal and no interest.
The plan only exists if the debtor accepts it. The email carries a link to a page where the debtor sees the installments, their amounts and dates, and clicks “Accept plan”. Neither the agent nor the Customer can activate it on the debtor’s behalf. Cord records the acceptance with the version and hash of the accepted text, the date, the IP address and the browser, and does not modify it afterwards. The proposal expires after 14 days; the first installment falls due that same day and the rest monthly. Once accepted, the plan replaces that quote’s pending charges and Cord notifies the Customer.
Cord does not calculate or charge automatic late interest in any country.
06 Data and providers
To select and draft, Cord uses the document identifiers, the balance, the currency, the due date, the days overdue, the configuration and the conversation history. It does not send Anthropic the debtor’s name, email or phone number, the payment link or the signature: it uses placeholders that Cord replaces after the text is generated, and the history travels masked and limited to the latest messages. Resend receives the recipient, the sender, the subject, the content and the headers to deliver the email.
The Customer shall not include in the history or the signature sensitive or third-party data that is not needed.
07 Records and limits
Cord keeps drafts, messages, their status, errors, approvals, exclusions, plan proposals and their acceptances. A message shown as sent means the email provider accepted it for delivery; it does not prove it was read or that the balance is correct.
Flouvia does not guarantee a response, payment or agreement. The Customer will supervise sends and stop automation when appropriate. This does not exclude Flouvia’s obligations regarding the agent’s design, security and operation.
08 Final provisions
This notice is read together with the Terms, the Payment Terms, the Artificial Intelligence Disclosure, the Acceptable Use Policy and the Privacy Notice. It does not replace the creditor’s contracts or each country’s consumer protection or debt collection rules. Amendments follow section 17 of the Terms.
