The “OK” via email problem

Traditionally, a sales rep sends a PDF and the client replies “Authorized, proceed”. If tomorrow there is a dispute over pricing, terms, or invoice collection, a simple email offers very little legal protection for your company.

Cord solves this by implementing a Simple Electronic Signature and Audit layer right at the moment of approval.

The Secure Approval Process

When your client clicks the Approve Quote button inside the Magic Link, the system doesn’t approve the document instantly. Before that, it displays a legal signature modal.

To proceed, the client must:

  1. Enter their Full Name.
  2. Enter their Corporate Email.
  3. Check a legal box confirming they have the authority to accept the Terms and Conditions outlined in the quote, as well as the commercial obligation to pay.

Forensic Data Capture (The Audit Trail)

At the exact moment the client presses “Confirm Signature”, Cord invisibly captures a Technical Audit Trail:

  • Public IP Address from which the approval was made.
  • Exact Timestamp synchronized with secure servers.
  • Cryptographic signature of the document’s state (guaranteeing that prices and terms were not altered by the seller after the client signed).

The Audit Stamp

Once approved, the quote’s status changes visually. At the bottom of the document (both in the web view and the subsequently generated downloadable PDF), an Audit Stamp is permanently embedded.

This stamp clearly shows:

“Digitally approved by [Client Name] ([Client Email]) on [Date and Time] from IP address [192.168.x.x].”

  • Chargeback Protection: If the client pays online with a credit card and later attempts a chargeback with their bank claiming they “didn’t authorize the purchase,” this IP and email record serves as compelling evidence in your favor.
  • Security for Stamping: Having legal evidence of debt acceptance makes issuing the CFDI 4.0 Invoice a legally sound process, facilitating collections or factoring efforts in case of delays.
